Regardless of the type of product testing campaign (open or invitation-only), selecting testers is an essential step.
Before starting, make sure your product testing campaign has been created and properly configured.
If needed, refer to this article.
Open campaign
Members can apply freely to open campaigns during the application phase. By selecting testers from among the applicants, the application phase is permanently closed and no other members will be able to apply to this campaign.
Selecting testers for an open campaign
Testers selection can only be done once, so make sure you have received enough applications before launching the selection.
Go to Animation > Product Testing, then click on the desired campaign to access the first tab, Applications, which lists all the applicants for this campaign in a table with their main information.
You can select testers from these applicants in two different ways. Click on each method to display its explanation:
Step 1
Use filters to refine your selection according to specific criteria by clicking on Fields. Select all the filters you want to use before starting the selection, according to the following categories:
In this section, you can for example activate filters:
- From general applicant information : Id, Create date.
- From their activity, to highlight members who are engaged in the community: Nb points.
- From last interaction, to avoid selecting an inactive member: Last interaction.
- From participation in other tests, to give everyone a chance and avoid prioritizing members who have already completed a large number of tests: Product testing participation as tester.
In this section, you can for example activate filters:
- From the applicant profile, to check whether the product matches the member’s profile: "What is your skin type?" if you want to target people with dry skin.
- From strategic / logistical details: Number of followers, Recipient first and last name.
Responses linked to a Custom Field added on the same day will only be visible the next day, as the table is updated daily.
In this section, you can for example activate filters:
- From social media profiles (Instagram, TikTok, YouTube)
- From social media performance (audience, number of posts, followers, ...)
Step 2
Select the profiles of the applicants you want to choose as testers:
The Select all option only selects the profiles that have been loaded (100 by default).
This means that if your filtering exceeds this number, as in this example (629), only the first 100 applicants will be selected.
To select all filtered profiles:
- Scroll all the way down and click on
See more, until all profiles are loaded
- Then click on Select all to select them all
Step 3
Click on the Confirm selection button to validate your choices, making sure to check the displayed number.
Before exporting, remember to activate the required fields (including Custom Fields) that you may need to narrow down the list to relevant profiles. To do so, refer to Step 1 of Method 1 - From the back office.
Step 1
Click on the Export button above the table listing the applicants for your campaign. A .csv file will be automatically downloaded.
Step 2
- Open a new Excel file and go to the Data tab
- On the left, click on
From Text/CSV, select the .csv file and click on Import
- Make sure to load the data with the following settings:
- File origin: 65001: Unicode (UTF-8)
- Delimiter: Comma
- Data type detection: Based on first 200 rows
Step 3
Filter and sort the columns according to your needs, so that you keep only the profiles you are interested in. Once only the profiles of the applicants you want to select as testers remain:
- Keep only the "Id" column without changing its name, and delete all other columns
- Make sure there are no empty rows, empty columns, or duplicate Ids, otherwise the import will not work
- Save the modified file in .csv format
Step 4
In the Applications tab of your campaign, click on Import list, choose your file and confirm your selection.
Once this step is completed, the selection will be locked and the campaign will automatically switch to the Testing status, which means that you will no longer be able to select additional testers. However, the campaign will still be visible in the community, showing that the test is in progress and that applications are closed.
What happens after the selection?
Once the testers have been selected:
- They automatically receive the information via email & notification in the community.
- You can now download their shipping information from the Testers > Download CSV.
The file contains the following information: User Id, SSO Id, username, email, status, test status, city, country, as well as the responses to custom fields related to the product testing campaign.
Invitation-only campaign
In an invitation-only campaign, members do not apply to become testers; you select in advance who you want to invite. They can then accept or decline the invitation.
1 - Select members to invite
Tester selection for an invitation-only campaign is carried out during its creation and configuration. When you choose to create an invitation-only campaign in step 3, you will need to directly select the members you want to send an invitation to become testers for this campaign.
Here is how to proceed:
- Define the maximum number of testers you want to allow for this campaign. For example here, 40.
- Use filters by clicking on
Fields to identify profiles that match your criteria.
For example: active members, number of points, number of followers. It is also possible to use Tags to segment members more quickly. - The number of profiles displayed after applying the filters must be less than or equal to the maximum number of testers. If this is the case, you will be able to click on Confirm testers.
What types of filters are available?
In this section, you can for example activate filters:
- From general applicant information: Id, Create date.
How to create Tags?
You can find out how to create Tags and assign them to members in this article.
They can be useful if you already have a list of members in mind that you want to invite. Assigning them a specific tag makes it easier to identify them during the selection.
2 - Track invitation responses
Once your campaign is created and the selected members have been invited to become testers, you will be able to track progress using the Invitations tab. It allows you to keep an eye on:
- The number of invited members
- The number of members who have accepted the invitation and will therefore become testers for the campaign
3 - Close the invitation phase
Beyond tracking invitation responses, you can also choose to manually close the campaign. If you feel that enough members have accepted the invitation and that you will have enough testers for your campaign, you can click on End invitation phase in the Invitations tab.
A confirmation pop-up will appear, and once confirmed, the tester selection is validated.
The campaign is automatically closed if the number of accepted invitations reaches the maximum number of testers. In this case:
- The campaign automatically moves to the Testing phase
- Invitations without a response are moved to the Invitation missed status, and members can no longer respond
- You gain access to the Testers tab, allowing you to track the progress of the tests carried out.
