How to: Check and Export data

Almost all the charts & tables in the Stats section can be exported in CSV. or Excel files. The steps below will apply to them all.

Select your timeframe 

  1. Chose a period of time: select a start and an end date

    Wait a few seconds for the data to load properly.
  2. Hover onto the graph until you see the 3 dots, then click on “Export data” (first option)

  3. Select your export preferences: select the middle option and not the first one, click on export

Users

Gamification

After choosing the start and end date, no need to select the missions in this section.

The Backend will automatically show the live missions completed over the period of time you’ve chosen.

Previous missions (Inactive) will be hidden but you will still be able to select them if needed.

If you’re interested in getting the metrics for specific missions, tick the box close to the relevant missions.

You can also compare mission performance over 2 different time periods by selecting the 2nd time period at the bottom of the page.

Export Missions by time period

  1. Head to the Stats section
  2. Then Gamification
  3. Then Missions
  4. Choose a date

When choosing the date, you are able to select two months to compare them on a the same graph

Example: You need to compare the amount of missions completed in both May and June

  • In the first period select from 1st to 31th May : in blue
  • In the second period from 1st to 30th June : in orange 

  • Move the mouse on the right of the blue graph to see the three dots!
  • Then click on export to get the data

Export Badges, Statuses, or Roles

  • Choose start and end date
  • There is a graph with the Badges or the Status or the Roles
  • Move the mouse on the right of the blue graph to see the three dots!
  • Then click on export to get the data

Find user activity

  1. Go to User detail in the Gamification section
  2. Search the user by entering its nickname or its email address
  3. You will be able to check for each user when the status, role, or badge was earned
  4. You will also be able to check when the missions have been completed, and the number of points earned

If for example a community member just happens to have more points than expected, you can export all its activities in the user details and sum up all the points won for the missions, badges or status in an Excel document.

Then reach to our CSM or tech CSM to remove the extra points from its profile

  • Click on the three dots and then export the data

Moderation

In Moderation there are three (3) sections:

  • Moderated Users (Flagged, Blocked, Banned Users)
  • Deleted Posts
  • Flagged Posts
  • For each section, select the right time period at the top left, then move the computer mouse on the right to see the three dots option and export the data

Content of a Post/Comment deleted by the User

  • Head to Deleted Posts in the Moderation Section
  • Select the Date
  • Down the Graph, you can check the content of the deleted posts and comments

User of the Month

In User of the Month there are two sections:

  • Data: here you can access the data to help you select the member of the month. For each user, you can see the number of posts, comments, likes, tests completed, posts and comments validated, and score. You can export the data by clicking on the 3 dots available at the top right corner
  • History: you can see all the users chosen as members of the month in the past. You can export the data by clicking on the 3 dots available at the top right corner

Acquisition & Retention

This section is split into 3 pages:

  • Acquisition: users of both the community and the chat widget
  • Acquisition chat: users of the chat widget only
  • Acquisition BEP: community members only

If you haven’t implemented the chat widget on your website, data from the Acquisition and the Acquisition BEP tabs will be the same

Number of Users in the Community

  1. Go to the Stats section, Acquisition/Retention entry, Acquisition BEP tab
  2. After selecting dates, you will find the number of new users acquired over the period, the total number of users acquired since launch, and the total number of deleted users over the period
  3. You can see two graphs that allow you to see the acquisition numbers on a daily basis: move the computer mouse from left to right directly on the graph to check both the date and the number of the users acquired in a day

Difference Between Total Users (End Date) and Total Users (All Time)

Total Users (end date) Total users (all time)
Number of Users till the end date you’ve chosen in the Backend Corresponds to all the users registered on your community without taking into account the end date picked in the Backend

Interactions

 In this section you can find data related to:

  • Channels
  • Categories
  • Products 

Total Number of Posts, Comments, and Likes

  1. Go to Stats, then Interactions and click on Channels
  2. Choose the start and end date according to the period of time you are looking for
    Please note that data are only available for the last 3 months. If you need earlier data, please contact your CSM
  3. Filter by Channel Type: select the channels you’re interested in
  4. Check the results: you can see at the top the total of posts, comments, posts likes and comments likes

Posts/Comments/Likes for a Specific Channel Group

  1. Head to the Stats icon
  2. Then in Interactions, go to Channels
  3. Choose a start and an end date
  4. Filter by Channel Name and select the Channel you are looking for

Interactions on Polls

  1. Head to the Stats icon
  2. Then in Interactions, go to Channels and to polls
  3. Choose a start and an end date
  4. See the number of polls, votes, polls creators, and the average number of votes per poll

Top Community Posts

  1. Head to the Stats icon
  2. Then in Interactions, go to Channels and to top posts
  3. Choose a start and an end date
  4. See the global results or the top posts per channel by selecting the channels you’re interested in

Categories Most Associated with Community Posts

You will find data in that section only if you have categories implemented on your community.

  1. Head to the Stats icon
  2. Then in Interactions, go to Categories
  3. Choose a start and an end date
  4. See the total number of interactions per category
  5. You can see the split per category by selecting the categories you’re interested in

Product Data Overview

You will find data in that section only if you have a product catalogue implemented on your community.

Definitions:

Product tagged: corresponds to all the products tagged by the users on the platform (all channels & activities but also comments)

Categories of products: allows you to see the most popular product catagories within your community

Product page: it is an interactive catalog of all your products where members can like and comment them. Data is available in this section if you have created a special Group where users can tag their favorite products on your community.

You can export any of the datas related to product tagged or product pages by clicking on the 3 dots and export data.

Demography

In this section you can find data about your community members demographics (age, location) and emails optins.

Total Number of Opted-In Users

Optins : Users that accepted to receive Emails from the community (manual sendouts, not to be mistaken with automatic notification emails)

  1. Go to Demography
  2. Select a date
  3. Check total number of Optins in the Section Optins
  4. You can also go the the User tab in the Stats icon, select the field “has user accepted marketing email”, click on the filter icon and select the “True” option.

Number of Users in a Specific Country

  • In demography you have three sections : Country, Town and BirthDate
  • Scroll through the section you want and apply the filter

Product Campaign

You are able collect data from previous product testing campaign in the backend. Check out candidates, testers, completion, review date, etc… Also filter by brand name and campaign then export your data

 

In the Application Custom Fields section, you are able to check how many users have responded to the custom fields when applying to test a product.

Filter this section by campaign and/or custom field then export your data.

 

In the Reviews Custom Fields section, you are able to check the answers provided by the testers when leaving a review (if you have created custom fields that your customers can answer to after testing a product).

Filter this section by campaign and/or custom field then export your data.

 

In the Targeted missions section, you will see data if you have created targeted missions linked to a product testing campaign.

 

Events

In Events section you will find two sub-sections:

  • Events
  • Registration list 

Total Number of Event Participants

  1. Go to Events
  2. The number of participants (members who registered to the events) will appear in the dashboard once you’ve chosen the start and end date of the Event
  3. You can also check how many posts, comments and likes the event got on the platform

Download List of Event Participants

  1. Go to Registration list
  2. Choose the start and end date of the event or select the event you’re interested in
  3. In the Backend, scroll though the page to check on the list
  4. Move the computer mouse on the right of the dashboard to see the three dots!
  5. Then click on the first icon to export the data

Contests

Number of Competition Entries

  1. Go to the Contests section
  2. Then Contests
  3. Choose start and end date
  4. See all the competitions that were live during this time period
  5. See the number of entries to each competition
  6. Move the computer mouse on the right of the dashboard to see the three dots!
  7. Then click on the first icon to export the data

Contest Entries

  1. Go to the Contests section
  2. Then Entries
  3. Choose start and end date of the Competition
  4. You will be able to check all the details of participants to competitions: their nickname, Email address, their text, etc.
  5. Move the computer mouse on the right of the dashboard to see the three dots!
  6. Then click on the first icon to export the data
  7. The export of all the entries will allow you to randomly pick one or more winners

Emails

Marketing Email Performance

  1. Reminder: only members who opted into community emails receive these emails
  2. Select the type of emails you are interested in in the drop down menu
  3. By default, the stats are displayed on a daily basis
  4. On the right of the table, you can select the period of time you’re interested in and you can edit the frequency by selecting the “week” or “month” options

The export button is not available. If you want to do some reporting, copy paste the data to an Excel file

Orders

Orders Made by Community Members

  1. Go to the Stats icon, click on Orders and on Orders BEP
  2. Select the right period of time
  3. See the number of orders, the revenue generated and the average cart
  4. Move the computer mouse on the right of the dashboard to see the three dots!
  5. Then click on the first icon to export the data

Orders from Chat Widget Interactions

  1. Go to the Stats icon, click on Orders and on Orders Chat
  2. Select the right period of time
  3. See the number of orders, the revenue generated and the average cart
  4. Move the computer mouse on the right of the dashboard to see the three dots!
  5. Then click on the first icon to export the data

Questions

This data is available only if you’ve implemented the chat widget on your website.

Chat Widget Data

  1. Go to the Stats section, click on the Questions tab
  2. Select the right period of time on the right of the page
  3. Get access to some data such as the number of questions, answers, answer and satisfaction rates
  4. Move the computer mouse on the right of the dashboard to see the three dots!
  5. Then click on the first icon to export the data

Chatrooms

A chatroom-type channel needs to be implemented on your community to access data.

In that section you can see how many messages and emojis are sent on a daily basis in the chatroom and export data if needed.

You can also see the content of the chatroom messages.

If you want to do exports:

  1. Go to the Exports tab
  2. Select the right period of time
  3. Move the computer mouse on the right of the dashboard to see the three dots
  4. Then click on the first icon to export the data 

Socials

In this section, you can see on a daily basis the number of posts shared on social media using a specific hashtag.

After creating external actions and social missions, go to this section to know how many users shared social media posts using these external actions.

If you want to do exports:

  1. Select the right period of time
  2. Select the external action you’re interested in
  3. Move the computer mouse on the right of the dashboard to see the three dots
  4. Then click on the first icon to export the data 

Reviews

If you’re integrated with a review provider (BazaarVoice, Yotpo, PowerReviews…), you will be able to see on a daily basis the number of reviews shared by your community members on your website.

If you want to do exports:

  1. Select the right period of time
  2. Select the external action you’re interested in
  3. Move the computer mouse on the right of the dashboard to see the three dots
  4. Then click on the first icon to export the data 

 


FAQs


When I click on export data, the Excel file is empty

When exporting your data, please make sure to select the middle option and not the first one.

Also, make sure you’ve got the right date before exporting the data.

The graph is not loading, what can I do?

If you are unable to visualize the content/the graph in the analytics, please try one of the following:

  • Log out and log back in to the backend.
  • Check your internet connection.
  • Contact your CSM if the issue remains.
Am I able to export the charts in Excel as seen on the Backend?

It’s not possible to export directly the charts as seen on the Backend as they’re generated with PowerBI, but you can take a screenshot of the graph if needed!
