How to create and send community internal emails

Brand Communities provides a powerful email system to engage members efficiently and measure your performance.

Types of emails

There are three main types of emails you can use to enhance community engagement:

Automatically-triggered emails 

These emails are sent automatically by the system, based on member activity (e.g. opt-in, registration, mission participation, new status unlocked). They ensure timely and relevant communication.

Manually-triggered emails 

These are BrandCommunication emails created and sent at your discretion. They allow you to define your recipient segments using filters for targeted communication. 

To optimize your retention strategy, we recommend sending 2 to 4 community emails per month. You can further discuss this and obtain tips from your Customer Success Manager (CSM).

Targetable / Unlockable emails 

These emails allow you to send reminders about new or ongoing missions to opted-in members. These emails are key to drive traffic and participation, keeping members informed about community activities.

What are the existing emails?

Email activation in the back office

  1. Go to Config > Look & feel > Emails
  2. Select the right email from the drop down menu at the top right
  3. Tick the checkbox to activate it / Untick the checkbox if you want to deactivate it
  4. Click “Save” to apply changes
  5. Click “Test the email” to preview it. You will receive the email at the address linked to your back-office account

Create community emails

It is important to know that the community header and footer are automatically added to Community Emails. You are therefore building the body of the email.

There are 3 methods to do so:

I. Create emails directly in the back office (standard editor)

  1. Go to Animation > Community emails
  2. Click on the button "+ Create new email" and choose "Build from existing file"
  3. Create your email using the standard text and formatting editor

Test your email

Once created, click on "Test email" at the bottom to send it to yourself.
 

First, you need to make sure that you have the “Send Emails from (optional) admin” permission and that the “BrandCommunication” email is activated.

Program your email
Then, you can choose to send the email immediately or schedule it for a date and time of your choice. Scheduled emails then appear in the "scheduled" tab.
Select your recipients

When you have scheduled the sending, select your recipients by clicking the button at the bottom of the page. Use filters to choose the users segment you want to send your email to.
 

For example if it’s a promotion email: you need to select email optins by filtering on Has user accepted marketing email > True > Apply

II. Paste your own HTML

You may have already an emailing tool in which you create emails. Thankfully, you can design your emails in your own tool and integrate your design in HTML directly within the back office. 

First, verify if you can copy/paste HTML from your tool (e.g. Klaviyo, Canva, Beefree).

  1. Design your email in your external tool and copy the HTML once done
  2. Go to Animation > Community emails > + Create new email
  3. Click on Source on the text editor
  4. When selected, paste the HTML code inside the text editor
  5. Click again on Source to see the preview of the email at the bottom of the page
Test your email

Once created, click on "Test email" at the bottom to send it to yourself.

III. Use the integrated email builder

The back office directly includes an email builder, with drag and drop features. You won't need any external tool or technical skills! 

  1. Go to Animation > Community emails
  2. Click on the button "+ Create new email" and choose "Build from scratch"
  3. Create your email using the drag and drop editor. To learn more, read this article.

Test your email

Emails data

You can track all sent emails performance inside the back office, in Stats > Emails. You have to select the type of email for which you want to see the data in the drop-down menu "Choose an email type".

You can export and download data in CSV to analyze it on your side. It is also possible to filter them by date or day/week/month.
