Surveys are one of the key activities you can offer your members on the community to engage them, gather feedback, or even test their knowledge.
How it works
All surveys are created using Typeform, an online platform known for its interactive and visually appealing forms, which integrates seamlessly with Brand Communities.
To be able to host surveys on your community, we need to invite you to use our Brand Communities workspace on Typeform. Here's how to proceed depending on your situation:
1. You already have a Typeform account
First, log in to your existing Typeform account, then:
- Click on your profile in the top right corner.
- Select "Settings" from the dropdown menu.
- Choose "Personal tokens" in the menu on the left.
- Click the “Generate a new token” button in the middle or at the top right.
- Enter a name (e.g Token Brand Communities) and click "Generate token".
- Click "Copy" to send the token to your CSM, then confirm by clicking "Got it".
The Brand Communities team will notify you when your account is activated, and you can then use the Brand Communities x Typeform survey solution.
2. You don’t have a Typeform account
- Send the email address that will be used to access the workspace to your CSM. Only one email address per client is available, make sure the credentials can be shared with your team.
- You will receive an invitation allowing you to create your Typeform account.
- Once your account is created, follow these steps !
Create a survey
You must not create surveys directly from the Typeform workspace, they will not be connected to the back-end and will therefore not be displayable on your community.
- In the back office, go to Animation > Surveys > Create survey
- Name your survey and click "Create". The survey name will be displayed on the channel. Ask your CSM if you need to remove it.
- The new survey appears at the bottom of the page. You can configure, delete or view the results.
- Click on "Configure" to be redirected to Typeform and start creating your survey . To get familiar with Typeform, you can watch tutorials here.
Your survey will not be visible on the community until you have associated it with your survey channel. You can then work on it at your own pace and make it visible when it is ready.
Publish a survey on the community
- Once the survey is created and the settings are configured on Typeform, click "Publish edits" at the top right.
- In the community back office, go to Animation > Surveys.
- Find the survey you want to publish in the list and associate it with a channel. Your users will then find the survey directly on that channel.
Make sure the channel visibility is set to "visible" (or "limited" / "link" if you want to target a specific audience). Otherwise, no one will be able to see the survey.
FAQs
You can configure “hidden fields” in your survey to link responses to specific users without having to create additional questions.
Note that:
- You must do this before the survey receives any responses.
- This only works if members respond to your survey on the community (survey hosted on a dedicated channel).
Follow the steps below to implement hidden fields:
- On your survey, click on "Logic"
- Then click on “Pull data in” and click the edit icon
- Click on “+ Add new parameter” and enter some or all of the following fields:
“email”
“nickname”
“toky_user_id”
“client_user_id” (client_user_id only works with SSO)
Make sure to copy/paste the exact text without quotes, spaces, or additional symbols. - Enable the toggle for the fields you want and click “Save”
Once you start receiving responses, you’ll see the following display on the results page:
Yes, you can have multiple survey channels, but only one visible survey per channel. Once you deactivate a survey channel, the survey associated with that channel will no longer be accessible to your community members. You can also move surveys from one channel to another.
Once you’re done with a survey, you can hide the associated channel so users can no longer see it.
- Go to Config > Channels
- Then, for the relevant channel, you can change the visibility to “Hidden” and click “Update”
If you want to reactivate the survey, simply change the visibility back to “Visible”.
