Surveys are one of the key activity that you can offer your customers on the community to engage them and collect feedback, through surveys or quizzes to test their knowledge.
How does it work
All surveys are created using Typeform, an online platform known for its interactive and visually appealing forms, which integrates seamlessly with TokyWoky.
To be able to host surveys on your community, we need to invite you to use our TokyWoky Typeform workspace.
If you already have a Typeform account
- Connect to your existing Typeform account.
- Once logged in, click on the initials at the top right.
- Select "Settings" from the drop-down menu that appears.
- Click on "Personal tokens" in the menu to the left of "Settings"
- Click on “Generate a new token” at the top right
- Enter a name (e.g. "Token Tokywoky") for the token and click "Generate token"
- Click on "Copy" and send the token to the CSM in charge of managing your account, then click on "Got it"
- The tokywoky team will notify you when your account is successfully activated and you will be able to use the Tokywoky x Typeform survey solution.
If you don’t have a Typeform account
Only one email address per customer is available so please ensure the credentials can be shared with your team mates.
- Send your CSM the email address that will be used to access the workspace. We will send you an invitation to join so you can create an account.
- Following the link in the invitation, create an account in Typeform.
- Once logged in, click on the initials at the top right.
- Select "Settings" from the drop-down menu that appears.
- Click on "Personal tokens" in the menu to the left of "Settings"
- Click on “Generate a new token” at the top right
- Enter a name (e.g. "Token Tokywoky") for the token and click "Generate token"
- Click on "Copy" and send the token to the CSM in charge of managing your account, then click on "Got it".
- The tokywoky team will notify you when your account is successfully activated and you will be able to use the Tokywoky x Typeform survey solution.
Create your Surveys
It’s important to avoid creating surveys directly from your Typeform workspace, otherwise it will not be connected to the backend, which will make it impossible to display on your community.
- In the Back office, go to “Animation”, then Surveys
- Click "Create survey"
- Give your Survey a Name then click on "Create"
The survey name will be displayed on the channel. Ask your CSM if you need to remove it
- The new survey will appear at the bottom of the page where you will be able to configure it
- Click Configure to be redirected to Typeform and begin drafting your survey.
👉 Your survey will not be visible until you associate it with your Survey Channel, so you can work on it at your onw pace.

Surveys on you community
- Once you are done with your survey parameters, you can go on the top right corner and click “publish” on Typeform.
- In the Back office, go to “Animation”, then Surveys.
- Find the survey you want to publish on the list and associate a channel to it. Your users will be able to find the survey directly on this channel after that.
👉 Make sure that the channel visibility is on “visible” (Or “limited” / “link” if you want to target a specific audience). If not no one will be able to see your survey.
FAQs
You can set up ‘hidden fields’ on your survey to associate responses to specific users without creating extra fields in your survey.
Please note that:
- This must be done before the survey receives any answers.
- This will only work if members reply to your survey on the community (survey hosted on a dedicated channel).
Follow the steps below to implement hidden fields:
- On your survey, click ‘Logic’
- Then “Personalize with data”
- Then “Hidden Fields”
- Click “+ Add new field” and enter some/all of the following hidden fields:
- “email”
- “nickname”
- “toky_user_id”
- “client_user_id” (the client_user_id will only work with SSO).
- Make sure to copy/paste the exact wording - without the “ or any extra spaces/symbols
- Click “Save”.
- Then “Publish” to apply your changes to your survey
Once your survey starts receiving responses, you’ll be able to see the following view in the results page:
Yes, you can have several survey channels, but only one survey visible per channel. Once you deactivate a survey channel, the survey associated with this channel will no longer be accessible by your community members. You can also switch surveys from one channel to another:
Once you’re done with a survey, you can hide the channel associated with it so that users can no longer see it.
- You need to go on “Config” and “Channels"
- Then, on the concerned channel you can change the visibility to “hidden” and click “update”
If you want to bring the survey back, just proceed to change the visibility to “Visible”.
